Privacy Policy

This Privacy Policy explains what information Polu Systems collects when you visit polusystems.com, how we use it, and the choices you have. Polu Systems is the software division of Polu Hospitality Group, based in Waikoloa, Hawaiʻi.

Information we collect

We keep data collection to a minimum. Our website has no accounts, no forms, and no checkout. Information reaches us in two ways.

Information you provide to us

The website does not collect your information on its own. If you choose to contact us by email or telephone, we receive whatever you send, which may include your name, email address, phone number, business or property name, and the contents of your message. We use this information only to respond to you.

Information collected automatically

When you visit the site, our analytics providers automatically collect standard technical and usage information through cookies and similar technologies. This may include your IP address, device and browser type, operating system, referring website, the pages you view, the links you click, and how you move through the site. One of our providers, Microsoft Clarity, may also record session replays and build heatmaps of on-page activity, such as mouse movements, scrolls, and clicks, to help us understand how the site is used. We do not use this information to identify you personally.

The analytics tools we use

We use two third-party analytics services to understand how visitors use the site so we can improve it. These providers act as our service providers and process the information on our behalf.

  • Google Analytics, provided by Google LLC. Google's handling of this data is governed by the Google Privacy Policy. You can prevent Google Analytics from collecting your data by installing the Google Analytics Opt-out Browser Add-on.
  • Microsoft Clarity, provided by Microsoft Corporation. Microsoft captures how you use and interact with the site through behavioral metrics, heatmaps, and session replay, and uses this data to improve its products and services. Microsoft's handling of this data is governed by the Microsoft Privacy Statement.

You can also limit or block cookies through your browser settings. Most browsers let you refuse new cookies and delete existing ones.

How we use information

We use the information described above to:

  • respond to your questions and requests;
  • operate, maintain, and improve the website and our products;
  • understand which content and products are useful to visitors;
  • protect the security and integrity of the site; and
  • comply with our legal obligations.

How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only in these limited situations:

  • Service providers. We share information with the analytics providers named above, and with the vendors that host and operate the site, so they can perform services for us.
  • Legal and safety. We may disclose information if required by law, subpoena, or legal process, or to protect the rights, property, or safety of Polu Systems, our visitors, or others.
  • Business transfers. If Polu Systems or Polu Hospitality Group is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

Do Not Track and opt-out signals

Some browsers offer a Do Not Track (DNT) signal. There is no common industry standard for how to respond to these signals, and our site does not currently respond to them. You can still opt out of analytics using the browser controls and provider opt-outs described in this policy. Because we do not sell or share personal information as those terms are defined under United States state privacy laws, there is no sale or sharing for you to opt out of.

Your privacy rights

Depending on where you live, United States state privacy laws may give you rights over your personal information, such as the right to:

  • know about or access the personal information we hold about you;
  • request that we correct or delete it;
  • opt out of the sale or sharing of personal information, noting that we do not sell or share it; and
  • not receive discriminatory treatment for exercising these rights.

To make a request, email us at aloha@polusystems.com. We will respond as required by applicable law. Because we collect very little information and do not maintain user accounts, we may need to ask you for details to locate any information associated with you, and in some cases we may be unable to connect the analytics data we receive to a specific person.

California residents

California law also asks us to describe the categories of personal information we collect (identifiers such as IP address, and internet or network activity such as usage data) and the categories of third parties with whom we share it (analytics providers and hosting providers). We do not sell personal information and have not done so in the preceding twelve months.

Data retention

We keep the information you send us by email or phone for as long as needed to respond to you and to maintain our normal business records. Analytics data is retained according to the default retention settings and policies of Google and Microsoft.

Data security

We use reasonable administrative and technical measures to protect information. No method of transmission over the internet or method of storage is completely secure, however, and we cannot guarantee absolute security.

Children's privacy

The website is intended for a business audience and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

Where we operate

Polu Systems is based in the United States and serves customers in the United States. We do not currently market or offer our services in the European Union or the European Economic Area, and this policy is written to reflect United States law. If you access the site from outside the United States, you do so on your own initiative and are responsible for compliance with local laws.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date shown at the top of this page. We encourage you to review this page periodically.
